Africa-Re hereby announces the vacancy for the position of an Assistant Manager, Protocol & Events Management at her Head office based in Lagos, Nigeria in the Professional Staff category.
Reporting to the Director of Communication and Public Affairs, the successful candidate will be responsible for coordinating all travel arrangements for Board Directors, Executive Management, employees, their dependents, and corporate guests. This includes overseeing flight bookings, ticketing, visa processing, airport receptions/departures, and managing the planning and execution of events hosted by the Corporation.
The incumbent will carry out the following functions:
A. Protocol Services:
• Coordinate the planning and execution of official events and ceremonies.
• Ensure adherence to diplomatic protocols and etiquette.
• Manage visits from dignitaries, officials, and other important guests.
• Oversee all protocol activities during the Corporation's statutory meetings.
B. Consular & Visa Matters:
• Coordinate the processing of visas and other consular documentation for employees and visitors.
• Maintain relationships with consular offices and embassies to facilitate smooth visa processes.
• Provide guidance and support to employees on consular matters.
C. Travel Logistics:
• Plan and coordinate travel arrangements for employees.
• Ensure efficient, cost-effective travel solutions and manage relationships with travel agencies and service providers.
• Work with travel teams, hotels, and service providers to negotiate favorable terms for the Corporation within approved budgets, guidelines, and policies.
D. Travel & Event Budget:
• Coordinate the annual travel and events budget for the Corporation.
• Prepare, manage, and account for event budgets, ensuring compliance with the Corporation’s financial rules and regulations.
• Undertake event planning missions and provide written assessments of host country conference preparations.
E. In-House Events and Meetings:
• Oversee the in-house events program, ensuring improved service for internal and external clients.
• Manage the scheduling, prioritization, and booking of meeting rooms, advising on optimal room usage.
F. External Events and Meetings:
• Assist in planning and coordinating logistics for events and meetings, including transportation, accommodations, and meals for attendees, as well as event schedules.
• Identify third-party service providers (e.g., Professional Conference Organizers) where necessary.
• Review and approve contracts in accordance with Africa Re's procurement policy, while maintaining overall responsibility for all aspects of event execution.
G. Customs Clearance:
• Handle customs clearance for imported goods and vehicles for the Corporation and staff, including legal residences of expatriates in the host country.
H. Travel Documents:
• Assist with issuing and renewing Africa Re travel documents (e.g., Diplomatic and Service Laissez Passers) as needed.
I. Other Duties:
• Carry out any other duties assigned by Management.
The successful candidate shall be based in Lagos (Nigeria).
• Demonstrated knowledge and experience of international diplomatic protocols and conventions;
• Strong ability to plan, organize and deliver successful events
• Proven capacity to understand event safety practices and regulations as well as to identify risks and minimize their impacts
• Ability to build and maintain relationships and interact with senior officials of governments diplomatic missions and multilateral organizations;
• Ability to communicate and function in a culturally diverse and change oriented setting with good knowledge of the African continent;
• Ability to use verbal and non-verbal communication skills for diplomacy
• Excellent verbal and written communication skills in English and French
• Demonstrated leadership capabilities, including ability to organise and manage human resources from varied cultural backgrounds to attain goals.

• Minimum - Bachelor’s Degree in relevant fields (Travel Management, Event Management, Public Relations, Tourism, Journalism, Political Science, Communication, Marketing, etc.) plus 7 years post qualification relevant qualitative work experience.
• Master’s Degree in relevant fields plus full professional qualification (Diploma), plus 5 years or more post qualification relevant qualitative work experience.
• Relevant professional experiences (at least 5 years), evidenced by career progression and effective exposure (certifications) Protocol, Travel logistics, Public Relations and Events Management
• Marketing-oriented and strategic thinking with hands-on skills. - Ability to identify risks and concerns and come up with potential solutions
• Proficiency in data analytics, project management and collaboration tools and technology.
